Who processes your data
The operator of this website and controller of your personal data is SC Extensive Network SRL, registered with the Trade Register under J22/1551/2012, VAT number RO30652685, with its registered office in Breazu, Iași County, Romania — the company behind the FreeYa Mind Campus project.

What we collect, why, and on what legal basis
We only collect data you send us yourself. We do not buy contact lists and we do not build profiles.
- Community and researcher applications (name, email, affiliation, field of work, links you provide, your message). Purpose: to evaluate your request and reply to it. Legal basis: your consent and, where a collaboration is discussed, steps taken at your request prior to a possible agreement (Art. 6(1)(a) and 6(1)(b) GDPR).
- Company and partnership enquiries (organisation, contact person, email, phone if you provide it, your message). Purpose: to assess and answer the enquiry. Legal basis: pre-contractual steps and our legitimate interest in responding to business enquiries (Art. 6(1)(b) and 6(1)(f) GDPR).
- Event registrations (name, email, phone if you provide it, affiliation, answers to the event question). Purpose: to manage the participant list, confirm your place and send information about that event. Legal basis: steps taken at your request (Art. 6(1)(b) GDPR).
- Job applications (name, email, phone, the CV link you provide, your message). Purpose: to evaluate your application. Legal basis: steps taken at your request prior to employment (Art. 6(1)(b) GDPR).
- Newsletter (email address, language). We only add you after you confirm the subscription by clicking the link we send you — double opt-in. Legal basis: your consent (Art. 6(1)(a) GDPR), which you may withdraw at any time.
- Website statistics. Our primary analytics tool is self-hosted and works without cookies and without identifying visitors. Google Analytics is loaded only if you accept statistics cookies in the banner; that processing is based on your consent.
- Server logs (IP address, browser, requested page, timestamp), kept briefly for security and troubleshooting. Legal basis: our legitimate interest in keeping the site secure and available (Art. 6(1)(f) GDPR).
Filling in a form is voluntary. Fields marked as required are the minimum we need to handle your request; without them we cannot process it.
How long we keep it
- Form submissions: for as long as needed to handle your request and up to 2 years afterwards, so that we can follow up on a conversation you started.
- Event registrations: until the event ends, plus 1 year for reporting and organisational records.
- Job applications: 1 year from the moment you send them, unless you ask us to delete them sooner.
- Newsletter: until you unsubscribe or ask to be removed.
- Server logs: up to 90 days.
Who else sees your data
Your data is accessible to the campus team members who handle the relevant request. Beyond them, data is processed only by technical suppliers strictly needed to run this website — hosting and email delivery — acting as our processors under contracts that impose confidentiality and GDPR obligations. If you accept statistics cookies, Google Analytics also processes usage data as an independent controller for that purpose.
We do not sell your data and we do not share it for other organisations' marketing. We disclose data to public authorities only where the law obliges us to.
Our suppliers are located in the European Union or in countries covered by an adequacy decision of the European Commission. If a transfer outside the EEA ever becomes necessary, we will apply the safeguards required by Chapter V of the GDPR and update this policy.
Your rights
Under the GDPR you have the right to: access your data; ask for its rectification; ask for its erasure; ask for restriction of processing; object to processing based on legitimate interest; receive your data in a portable format; and withdraw your consent at any time, without affecting processing carried out before the withdrawal.
To exercise any of these, write to contact@freeya-mind-campus.ro. We answer within one month; where a request is complex, we may extend that period and will tell you if we do.
If you believe we have handled your data improperly, you may lodge a complaint with the Romanian supervisory authority: Autoritatea Națională de Supraveghere a Prelucrării Datelor cu Caracter Personal (ANSPDCP), B-dul G-ral. Gheorghe Magheru 28–30, Sector 1, Bucharest, dataprotection.ro. You also have the right to an effective judicial remedy.
Children
In Romania, consent for online services is valid from the age of 16. If you are under 16, please have a parent or guardian contact us before sending any personal data through this website. Where a programme is aimed at pupils, participation is arranged through the school or with parental consent.
Automated decisions
We do not take decisions about you by automated means alone and we do not carry out profiling that produces legal effects for you. Applications are read and assessed by people.
Security
The site runs over an encrypted connection (HTTPS), access to the administration panel is restricted to named accounts, and the data is stored on servers to which only the technical team has access. No system is absolutely secure, but we apply measures appropriate to the risk and review them periodically.

Changes to this policy
If we change how we process data, we update this page and the date at the top. For substantial changes affecting processing based on consent, we will ask for your consent again.
